Kit + Calendly

Install the Calendly app to sync your meeting contacts and activity into Kit, embed real‑time availability in emails, and trigger Visual Automations when someone books time.

With the Calendly app, you can use your Calendly scheduling in three powerful ways:

  1. Sync meeting contacts as subscribers in Kit

  2. Embed real-time availability blocks that display your calendar openings directly in the email editor

  3. Trigger automated workflows when someone books time with you, creating personalized follow-up experiences

⚠️ IMPORTANT: Ongoing Sync of new contacts is available only on Calendly’s paid plans. Free plan users can only run a full historical import upon install.

Getting started with Calendly

To use the Kit Calendly app, you need to:

  1. Have an active Calendly account

  2. Have a paid Kit account

How to install the Calendly app

  1. Log in to your Kit account

  2. Click Automate > Apps in the top navigation

  3. Find the Calendly app and click Install

  4. Sign in with Calendly and approve the requested permissions

  5. You’ll land on the sync preferences screen to choose what contacts you'd like to import and sync from Calendly to Kit.

You can also go directly to the Calendly app listing to install the app.

How to use the Calendly app

Choose your sync preferences (on install)

During the installation, you can choose to enable a historical import and/or an ongoing sync for your subscribers:

Historical import

This will be a one-time import, which will give you richer subscriber data for more personalized targeting based on call history via Calendly.

  • Active subscribers: Imports Calendly data (e.g., number of calls booked, last booked call, etc) for existing active subscribers in your Kit account. Any Calendly contacts not yet in Kit will be added as new active subscribers.

  • Unsubscribed: Imports Calendly data for people who have unsubscribed from your email list and automatically reactivates them in Kit

Ongoing sync

This will automatically update subscriber data in Kit as new calls are booked through Calendly. This requires a paid Calendly plan.

⚠️ IMPORTANT: We do not recommend importing or syncing your unsubscribers if you haven’t gotten new consent from them to be added to your email marketing list. Importing unsubscribers in this way could lead to higher bounce and spam rates, which can impact your deliverability.

How subscriber sync works

If you chose to sync your subscribers, here are the new Tags and custom fields you'll find in subscriber profiles:

  • "Calendly" Tag: Anyone who has ever booked a call with you via Calendly will have this Tag. This includes new contacts from Calendly who join your email list for the first time.

  • "Calendly Name": First name they included in the Calendly booking

  • "Calendly Last Name": Last name they included in the Calendly booking

  • "Calendly calls booked": Total calls they've booked through any of your Calendly links

  • “[Name of Paid Calendly Call]”: Paid Calendly event name will be listed under Products

  • Purchase data: Any purchases and revenue data will appear in the Purchases tab of the subscribers’ profiles in Kit

You can use this data for segmentation and automation conditions for your Broadcast or Automations.

Adding Calendly scheduling block to emails

With the Calendly app, you’ll be able to insert real-time availability blocks that display your calendar openings directly in your emails. Here’s how to insert your Calendly scheduling link to your emails:

  1. In the email editor, type /calendly and select Calendly to add the Calendly content block.

  2. Select the scheduling link: Choose which scheduling link you want to display from the "Calendly event" dropdown in the sidebar. (Note: Shared calendars may not appear in this dropdown unless you're the calendar owner.)

  3. Customize the display:

    • Choose time format (12-hour or 24-hour view → i.e., 2:00 PM vs. 14:00)

    • Select size (large vs. small)

    • Choose color mode (light vs. dark)

    • Adjust margin (none, normal, large, or custom)

  4. Preview and send: Review how your Calendly availability looks before sending

Set up automations based on subscriber Calendly scheduling behavior

Use Visual Automations to create Calendly-related automations

Once you have the Calendly app installed, you’ll be able to use the Tags and custom fields from the ongoing sync, as well as the event of a subscriber paying or booking a call, to trigger automations in Kit.

For example, you can create automations for:

  • Funnel for discovery calls

  • Sales funnel for paid coaching calls

  • Coaching re-engagement emails

We’ll show you how you can automate your sales funnel for discovery calls.

Discover call funnel

This is perfect for educators or course creators who have a product that has a high price point and often requires a discovery call to help close the deal.

Here’s how to set it up:

  1. Go to Visual Automations under the Automate tab in the navigation. Click the + New automation button on the right:

  2. Click the Start from scratch button. Your new automation will open, and you'll immediately be presented with the option to select an entry point.

  3. In this modal, select the Tag “Interest in Course”. (You can select any Form or Tag you’ve set up that helps you identify someone who has expressed interest in your course.)

  4. Add the Sequence that’ll drive them to book a discovery call with you to learn more about your product.

  5. Add the Event node, select Calendly.

  6. Choose Calendly Event Booking.

  7. Select the specific Calendly event corresponding to the discovery call you want creators to book.

With this automation, any subscriber who books a discovery call will immediately exit the sequence, so they won't continue receiving emails asking them to book.

From here, you can tag and move them into different automations after they’ve booked or not booked a discovery call with you.

Calendly troubleshooting

I connected the Calendly app to Kit, but don’t see my subscribers updated

  • Make sure the ongoing sync is enabled on the Sync preferences screen. If you did not select this option, you may have to uninstall and reinstall.

  • If you skipped historical import and only chose ongoing sync, only new Calendly bookings created after installation will appear.

Purchase data isn’t appearing

  • This will appear only if you have selected historical imports and if you have paid events through a paid Calendly account.

  • This will appear only if you have selected ongoing syncs and if you have sold a paid event after installing the app.

My email block looks off or is not showing up

Frequently asked questions

Does the Calendly app cost extra?

No, the app does not cost anything extra. You can install it if you are on a paid Kit plan. However, if you want to enable ongoing sync to import new contacts as Kit subscribers, then you will have to be on a paid Calendly plan.

Will the Calendly scheduling block update automatically?

The block reflects current availability from your Calendly link when the email is built. If you significantly change your schedule, refresh the block before sending.

Can I add the Calendly scheduling block to a sequence?

You can, but we don’t recommend it. The block reflects the availability when the email is built, which means you’d need to manually refresh it for the latest data. This doesn’t work well for Sequences, which are for sending automated emails.
